Why We Use Photographs and Media

At MASKK, photographs, videos and other media help us to celebrate children’s achievements, showcase our work, promote activities, demonstrate impact to funders and supporters, and help families see the positive experiences available through our services.

We recognise that photographs and videos can be personal information and we are committed to using them safely, respectfully and in line with data protection, safeguarding and children’s rights principles. The organisation’s wider GDPR framework emphasises that information should be used fairly, securely and only for clear, lawful purposes.

Consent and Parental Choice

Where required, MASKK will seek consent before using photographs or videos of children for promotional, marketing or publicity purposes.

Families will be able to indicate their preferences regarding the use of images in:

  • Social media
  • The MASKK website
  • Printed publicity materials
  • Newsletters
  • Funding reports
  • Displays and presentations

Families can update or withdraw their consent at any time by contacting MASKK.


Safeguarding and Children’s Welfare

The safety and wellbeing of children will always take priority over publicity or marketing.

MASKK will take reasonable steps to ensure that:

  • Images are appropriate and respectful.
  • Children are presented positively and with dignity.
  • Images do not place children at unnecessary risk.
  • Information accompanying photographs does not unnecessarily identify children.
  • Safeguarding concerns are considered before any image is published.

Where a safeguarding, legal or court-related restriction exists, additional controls will be applied and photographs may not be taken or used.


How Images May Be Used

Photographs and videos may be used for purposes including:

  • Celebrating activities and achievements
  • Sharing information with families
  • Promoting services and opportunities
  • Demonstrating charity impact
  • Supporting funding applications and reports
  • Training and organisational development

Whenever possible, images will focus on activities, participation and positive experiences rather than identifying individual children.


Storage and Security

Photographs and media files are managed as organisational records and are subject to MASKK’s wider information governance arrangements.

Images should be:

  • Stored on approved systems where possible
  • Accessed only by authorised individuals
  • Managed in accordance with MASKK’s Data Retention Policy
  • Deleted or archived when no longer required

The organisation maintains systems and processes to ensure information is stored securely and accessed only by those who require it for their role. 


Photography by Parents and Visitors

Families may wish to take photographs during events or celebrations.

MASKK asks everyone to respect the privacy of other children and families.

Photographs taken by parents or visitors should not be shared publicly if they include children other than their own without appropriate permission.

Where specific safeguarding concerns exist, additional restrictions may be put in place.


Social Media and Marketing

MASKK uses social media and digital communications to share information about activities and opportunities.

When using photographs on social media:

  • Appropriate permissions will be checked.
  • Images will be reviewed before publication.
  • Care will be taken not to publish unnecessary personal information.
  • Content will reflect MASKK’s values of inclusion, respect and child-centred practice.
